In accordance with the provisions of current regulations on the protection of personal data, in particular Regulation (EU) 2016/679 of the European Parliament and of the Council, of 27 April 2016 (hereinafter, GDPR), and Organic Law 3/2018, of 5 December, on the Protection of Personal Data and guarantee of digital rights (hereinafter, LOPDGDD), users of this website and participants in the I LOGISTOP 2026 Scientific-Technological Congress are informed of the following points, in accordance with articles 13 of the GDPR and 11 of the LOPDGDD.

2. Purpose of processing
For what purpose will we process your personal data?
Within the framework of the Congress, we will process your personal data for the following purposes:
manage your browsing and use of the Congress website;
manage their registration and participation in the Congress;
to process the sending, reception, evaluation, selection and management of abstracts, contributions, posters, papers and other scientific-technical materials;
manage organisational communications related to the Congress, including confirmations, logistical notices, programme changes, technical instructions and response to queries;
manage, where appropriate, the invoicing, collection and administrative control of registrations;
manage accreditation, access control and attendance at the event;
to draw up lists of participants, speakers, authors or registered persons when necessary for the correct organisation of the Congress;
disseminate, where appropriate, the accepted contributions, proceedings, materials, abstracts, reports or scientific-technical content linked to the Congress;
to capture and disseminate images, photographs or audiovisual recordings of the event for informative, informative and promotional purposes related to the Congress and Logistop's institutional activity;
to submit subsequent information related to the Congress, its results, associated materials or future editions or related activities, provided that there is a sufficient legal basis for doing so.
3. Retention period
How long will we keep your data?
Personal data will be kept for the time necessary to comply with the purposes for which they were collected and, subsequently, for the periods required by the applicable regulations to meet possible legal, administrative, fiscal or contractual responsibilities.
In general:
the data related to the management of registrations, participation, abstracts and organizational communications will be kept for as long as necessary for the organization, execution, closure and monitoring of the Congress;
data relating to invoicing and accounting or tax obligations shall be kept for the legally required periods;
Data processed on the basis of consent, such as the sending of future communications not strictly linked to the event or the individualised use of images when such a basis is necessary, will be kept as long as you do not withdraw such consent;
the scientific-technical materials accepted and published may be kept as part of the archive, memory or documentary repository of the Congress and of the institutional activity of Logistop, to the extent that this is necessary for its purposes of dissemination, traceability and scientific or technical continuity.
In any case, the controller will periodically review its systems and delete or anonymise any data that is no longer necessary.
4. Standing
What is the legitimacy for the processing of your data?
The legal basis for the processing will depend on the specific purpose:
a) Management of registration and participation in the Congress
Legal basis: execution of a contractual or pre-contractual relationship, in accordance with Article 6(1)(b) of the GDPR.
b) Management of abstracts, contributions, papers, posters and materials submitted by the authors
Legal basis: application of pre-contractual measures and execution of the relationship derived from participation in the Congress, article 6.1.b) GDPR; and, where applicable, legitimate interest of the controller in organising and developing the scientific-technical programme of the event, article 6.1.f) GDPR.
c) Attention to queries and communications with interested persons
Legal basis: consent of the data subject, Article 6.1.a) GDPR, when the initiative comes from the data subject himself; and/or legitimate interest, article 6.1.f) GDPR, to properly manage communications related to the Congress.
d) Administrative, accounting and tax management of registrations
Legal basis: contractual performance, Article 6.1.b) GDPR, and compliance with legal obligations, Article 6.1.c) GDPR.
e) Access control, accreditations and organisational security of the event
Legal basis: contractual performance, article 6.1.b) GDPR, and legitimate interest of the controller in guaranteeing the correct organisation, capacity, security and traceability of the event, article 6.1.f) GDPR.
f) Dissemination of accepted contributions, minutes, materials or proceedings of the Congress
Legal basis: execution of the conditions of participation accepted by the authors and/or legitimate interest of the person responsible in the scientific, technical and institutional dissemination of the Congress, article 6.1.b) and 6.1.f) GDPR.
g) Capture and dissemination of images and recordings of the event
Legal basis: legitimate interest of the controller to document and disseminate the celebration of the Congress and its activities, article 6.1.f) GDPR, without prejudice to the fact that consent is requested when the regulations or specific circumstances require it.
h) Sending information about future activities, events or related editions
Legal basis: consent of the data subject, Article 6.1.a) GDPR, or legitimate interest, Article 6.1.f) GDPR, when there is a prior relationship and the communication is in accordance with the applicable regulations, including the LSSICE on electronic communications.
All the requested data that are identified as mandatory will be necessary for the correct management of the Congress. Failure to provide such data may prevent the registration, participation or processing of the contribution submitted.
5. Rights of data subjects
What rights do you have in terms of data protection?
You can exercise, under the terms provided for in current regulations, the following rights:
right of access to your personal data;
right to rectification of inaccurate data;
right of deletion;
right to object;
right to restriction of processing;
the right to portability, where applicable;
the right to withdraw consent at any time, without affecting the lawfulness of the processing prior to its withdrawal.

Likewise, if you consider that your rights have not been adequately addressed, you may file a complaint with the Spanish Data Protection Agency (AEPD).
6. Recipients
To whom will your data be communicated?
In general, your data will not be communicated to third parties, except under legal obligation or when this is necessary for the correct organization, technical, administrative or logistical management of the Congress.
Your data may be accessed, as data processors or service providers, by third parties who collaborate with the controller in matters such as:
web hosting and computer systems;
registration platforms, abstract management or accreditations;
administrative, accounting or organisational support services;
audiovisual, streaming, photography or recording services;
payment services, where applicable;
suppliers strictly necessary for the operation of the Congress.
In such cases, the corresponding contracts or guarantees required by data protection regulations will be adopted.
In general, no international data transfers are foreseen. If exceptionally necessary, they will be carried out in accordance with the guarantees provided for in the GDPR.
7. Origin of the data
How did we obtain your data?
The personal data processed by the controller generally comes from the interested party himself, either through registration forms, contact forms, sending abstracts or contributions, email communications, requests for information or participation in the Congress.

What categories of data do we handle?
In the context of the Congress, the following categories of data may be processed, among others:
identification data: name, surname, identification document where applicable;
contact details: email, telephone, business or postal address;
academic or professional data: entity, position, affiliation, professional profile, abbreviated CV, biography, area of specialization;
participation data: registration, attendance, accreditation, type of participation, abstracts, contributions, presentations, posters, submitted materials and related communications;
economic and transaction data: billing data, paying entity, collection or registration payment information;
image and voice, when photographs or recordings of the event are taken;
Browsing and use data on the website, in the terms provided for in the corresponding Cookies Policy.
In general, the processing of special categories of personal data under Article 9 of the GDPR is not foreseen. In the event that, exceptionally, it is necessary to process data of this nature, it will be specifically informed of this and the measures and legal bases required by the regulations will be adopted.
9. Supervisory Authority
The controller expresses its commitment to compliance with data protection regulations. However, if you consider that the processing of your data does not comply with the regulations, you can file a complaint with the Spanish Data Protection Agency (AEPD).
10. Policy Update
This privacy policy may be updated when necessary to adapt it to regulatory, organisational or functional changes in the Congress or its management channels. In case of relevant modifications, they will be published on this page.
