Guidelines for the Submission of Abstracts and Contributions

1st LOGISTOP Scientific and Technological Congress 2026 · València, 6–7 October 2026

The submission of abstracts and contributions to the 1st LOGISTOP Scientific and Technological Congress 2026 entails full acceptance of these guidelines, as well as of any decisions adopted by the Organization and the Scientific-Technical Committee regarding their interpretation, implementation, evaluation and resolution.

1. Purpose

These guidelines govern the process for the submission, receipt, evaluation, selection and participation of abstracts and scientific-technical contributions to the 1st LOGISTOP Scientific and Technological Congress 2026. The Congress is promoted by LOGISTOP, the leading Spanish technology platform in logistics, transport and mobility innovation, and aims to foster knowledge transfer, the exchange of experience, the identification of strategic challenges, and the connection of scientific, technological, business and institutional capabilities.

2. Purpose of the call

The purpose of this call is to select high-quality scientific and technical contributions for inclusion in the Congress programme, in any of the participation formats established by the Organization. Contributions shall provide knowledge, results, approaches, developments, case studies, experiences or solutions of interest to the logistics ecosystem and to stakeholders linked to R&D&I, sustainability, resilience, security and the technological transformation of the supply chain.

3. Thematic scope

3.1. Sustainability and energy transition in logistics. This track includes, among others, contributions related to the decarbonisation of transport and supply chains, energy efficiency, electrification, alternative fuels, sustainable urban logistics, circular economy, reverse logistics, environmental impact reduction and sustainable intermodality.

3.2. Logistics resilience, emergencies and critical infrastructures. This track includes, among others, contributions concerning supply chain resilience, operational continuity, emergency logistics, critical infrastructures, dual-use civil-security technologies, cybersecurity, monitoring, traceability, interoperability and the application of advanced enabling technologies to logistics.

4. Organizing entity

This call is organised by LOGISTOP – Spanish Technology Platform for Logistics, Intermodality and Mobility, the entity promoting the Congress and responsible for its overall coordination, without prejudice to the participation of the Scientific-Technical Committee and any collaborating entities involved in its development.

5. Eligible participants

Abstracts and contributions may be submitted by natural or legal persons, national or international, from the academic, scientific, technological, business or institutional spheres, whose activity is related to logistics, transport, mobility, supply chains or associated technologies. LOGISTOP membership shall not be required.

6. Participation formats

a) Oral presentation  ·  b) Scientific-technical poster  ·  c) Technological demonstration or demo corner.

The final participation format shall be determined by the Organization and the Scientific-Technical Committee, taking into account the content of the proposal, its quality, its thematic fit and its integration within the Congress programme.

7. Language

Abstracts and contributions may be submitted in Spanish or English.

8. Requirements for proposals

Proposals must be directly related to the purpose and subject matter of the Congress; provide scientific, technical, applied, experimental or transfer-oriented content of interest to the sector; be drafted with sufficient clarity, coherence and precision to allow proper assessment; and, where applicable, identify the issue addressed, the methodological approach, the results, developments, applications or main conclusions.

9. Submission of abstracts

Participation in the process shall require prior submission of an abstract through the official channel or platform enabled by the Organization. The abstract should be approximately 150 to 200 words in length. It shall include, at a minimum, the title of the proposal, authorship, the participating entity or entities, the main thematic track and a concise description of the content of the contribution. The Organization may request clarifications, formal corrections or additional information where necessary for the proper evaluation of the proposal.

10. Deadlines

· 20 April 2026: submission period opens.
· 15 June 2026: abstract submission deadline.
· By 15 July 2026: review and notification of acceptance.
· 6–7 October 2026: Congress dates.

Failure to comply with the deadlines may result in the proposal being declared inadmissible or excluded.

11. Evaluation and selection

The evaluation of proposals shall be the responsibility of the Congress Scientific-Technical Committee. Contributions shall be assessed, among other aspects, on the basis of the following criteria: scientific and technical quality, originality and innovation, methodological rigour, relevance to the Congress theme, contribution to the logistics sector, potential for applicability, transfer or impact, and clarity and structure of the proposal. The decision of the Scientific-Technical Committee shall be final.

12. Review procedure

As a general rule, the review procedure shall consist of two phases. In the first phase, the Organization shall verify compliance with the formal, thematic and admissibility requirements. In the second phase, the Scientific-Technical Committee shall evaluate the content of the proposals and adopt the corresponding decision regarding their acceptance, rejection or admission in a format other than that initially envisaged. The Organization may reassign contributions between formats or sessions whenever this is deemed necessary in the general interest of the scientific-technical programme of the Congress.

13. Notification of results

The outcome of the selection process shall be communicated to the corresponding author within the timetable established for the Congress. Such communication may include additional instructions regarding the final format, participation conditions, schedules, supporting material, template or technical requirements.

14. Participation of accepted contributions

Accepted contributions shall be incorporated into the scientific-technical programme of the Congress in the format determined by the Organization. For oral presentations, the maximum presentation time shall be 20 minutes, unless otherwise indicated by the Organization. Poster sessions and technological demonstrations shall take place in the spaces specifically designated for such purpose.

Acceptance of a contribution shall not imply free attendance at the Congress. Accepted authors or speakers must complete their registration in accordance with the conditions established by the Organization and may avail themselves of the "speaker" registration fee applicable to this category.

15. Submission of final material

Once the abstract has been accepted, the Organization may require submission of the full paper, poster, presentation material or associated technical documentation, in accordance with the official template or instructions of the Congress. As a general rule, the full paper may be submitted in Word or PDF format, with an indicative maximum length of up to 20 pages, A4 size, Arial 11 font and single line spacing. Figures, tables and references shall be presented in an orderly, legible and properly identified manner.

16. Publication and dissemination

The submission and, where applicable, acceptance of a contribution implies authorisation in favour of LOGISTOP, on a non-exclusive basis and without financial consideration, for the reproduction, distribution and public communication of the accepted materials exclusively for purposes connected with the Congress and its scientific, technical and institutional dissemination. Such authorisation shall include, among others, the possible incorporation of the materials into the Congress digital proceedings, the official Congress website, scientific-technical dissemination materials, and summaries, reports or newsletters issued by LOGISTOP, where appropriate.

17. Awards and recognitions

The Organization may grant awards or recognitions to the best contributions submitted, in accordance with the criteria it may establish and, where applicable, the categories that may be defined in due course.

18. Personal data protection

In accordance with Regulation (EU) 2016/679 of 27 April 2016 on the protection of natural persons with regard to the processing of personal data, and with the applicable Spanish legislation in this field, the personal data provided by participants shall be processed by LOGISTOP – Spanish Technology Platform for Logistics, Intermodality and Mobility, acting as data controller, for the purpose of managing participation in this call, evaluating proposals, communicating with authors, organising the Congress and, where applicable, disseminating the accepted contributions.

The data shall be retained for the time necessary to fulfil these purposes and to comply with any legal obligations arising therefrom. They shall not be disclosed to third parties except where required by law or where organisational needs directly related to the execution of the Congress so require, in accordance with the applicable legal framework. Data subjects may exercise their rights of access, rectification, erasure, objection, restriction of processing and any other rights recognised under the applicable legislation, in accordance with the provisions of the Logistop privacy policy.

20. Acceptance of the guidelines

The submission of an abstract or contribution implies full and unreserved acceptance of these guidelines, as well as of the decisions adopted by the Organization and the Scientific-Technical Committee of the Congress.
